New EPA-Paid Airfare Policy For C&T Program Manager State-Designees

C&T Program State-Designee

EPA supports the cost of a round-trip coach airfare to Honolulu for the designated 1) state C&T program manager, 2) state Extension PSEP Coordinator, and 3) state Structural C&T program manager, if applicable. Note: to meet the reimbursement criteria 1) you must be approved as the state-designee by April 11, and 2) must have purchased your ticket prior to July 18, 2003.

Airfare Reimbursement for Designees

Reimbursement includes airfare and related transportation costs.

To qualify for reimbursable-tickets, submit the attached State-Designee Form to Jeanne Heying for approval before July 18. You are welcome to submit this form for approval as soon as you receive it. The earlier the designee approval is processed, the sooner you can book and purchase tickets; this should result in less expensive fares for you and your traveling companions.

For any ticket costing more than $1,000, obtain pre-ticketing price approval from Jeanne Heying. For tickets costing under $1,000, you do not need pre-ticketing approval go ahead and make your purchase; but, be frugal where possible since some designees will have to pay more than $1,000 in some travel markets.

You may add extra days or side trips onto the ticket, as long as EPA is reimbursing you only for the portion of the ticket attributed to roundtrip travel to/from Honolulu.

You are responsible to purchase your own airline ticket (internet/travel agency). Book early to guarantee less expensive rates. EPA, through CAST, will reimburse any designee-approved ticket once the receipt has been submitted by the state-designee to Jeanne Heying. You may request ticket reimbursement as soon as you have a receipt for the ticket. If your agency does not allow you to be reimbursed for the purchase of a ticket, contact Jeanne Heying.

If you cancel your trip, EPA requires you reimburse CAST for the cost of the ticket, less any associated cancellation handling fees.

Persons attending the conference on EPA-paid tickets are expected to attend each entire meeting.
